Booking and payment
Booking and Cancellation policy
Upon booking, the participant is requested to pay a non-refundable deposit of 10% of the total price. Once the participant has paid the deposit, the trip is confirmed, subject to payment of the balance of fees owing 60 days prior to your trip commencement date. The participant may then cancel his/her participation on the following basis:
Travel
The arrangement and cost of travel are not included in your Explore Nepal 2025 booking. It is your responsibility to make the necessary arrangements to reach Kathmandu airport and check what visas or health requirements may be applicable to you. yolga / Himalaya Travel Adventures are not responsible if you, or another passenger you are travelling with, do not have the necessary documentation for travel, nor are we responsible for any consequences arising from cancellations or delays in travel. Should issues with your travel affect your ability to attend Explore Nepal 2025 the cancellation policy will apply (see above).
Mutual Respect and Responsibility
This Explore Nepal 2025 is a shared experience. Mutual respect and consideration for all group members and the retreat team are essential.
Yoga
Daily yoga sessions are included in Explore Nepal 2025, but are only guaranteed with a minimum of 4 participants. The Explore Nepal 2025 will operate as planned regardless of the number of participants, and all Terms and Conditions apply. If there are less than 4 participants, the yoga portion of the trip will be excluded.
Insurance
We strongly recommend that you have travel insurance to come on Explore Nepal 2025. It is your responsibility to have travel insurance that covers yoga, trekking and any activities on Explore Nepal 2025 that you may book as well as potential losses, damages, injuries, illness, cancellations and risks.
Health and safety
By signing the reservation form, the participant declares to be in good health and in a reasonable physical condition. Himalaya Travel Adventures /yolga are not liable for any accidents or injuries or damages to property during the trek. We highly recommend to take a travel insurance for the trip.
We are not liable for any traveling delay, strikes, lost baggage or damage to property of any kind. Insurances are not included in the price of the trek.
We are working with qualified guides and teachers who will make efforts to keep the client safe, however, the risk of injuries or accidents cannot be fully eliminated. We therefore recommend the following:
Before Explore Nepal 2025 begins, we will be sending you an Attendee/Sign-In Form to gain a better understanding of your yoga and trekking experience and any health problems or medical conditions that we need to be made aware of.
yolga / Himalaya Travel Adventures reserves the right to advise you not to participate in activities at Explore Nepal 2025 if you have any health problems or medical conditions that may be affected by them.
If you feel any discomfort, pain or suffer an injury during any of the activities at Explore Nepal 2025, you must stop as soon as possible and inform us. If you continue with the activity and there are chances of further worsening the injury, yolga / Himalaya Travel Adventures reserve the right to deny your stay and participation in Explore Nepal 2025, without refunding your retreat payment.
We need to be informed of any pregnancies. It is your responsibility to check with your doctor that you are fit to travel and capable of performing the activities we offer.
yolga / Himalaya Travel Adventures are not responsible for any illness, injuries or psychological conditions that you may have nor for any possible risks, illness, injuries or psychological conditions that you may develop during Explore Nepal 2025.
Complaints
In the unlikely event of any problems arising during Explore Nepal 2025, please inform us as soon as possible. We cannot be held responsible for the behaviour of individual members of the group but will do our very best to resolve any difficulties.
Unforeseen circumstances
yolga / Himalaya Travel Adventures do not accept any liability for cancellations, threat of war, or delays, changes caused by war, terrorist attacks or threats, industrial action, civil strife, strikes, closure of airports/ports, technical problems to transport, natural disaster, staff cancellations, unforeseen changes in your circumstances or other events beyond our control.

Please be assured that any information you share with us will be kept in the strictest confidence and not passed on to any third parties. yolga / Himalaya Travel Adventures do not share any registers, records or share any personal or banking data.

Booking and payment
- A 10 % deposit is required to reserve a place on this Explore Nepal 2025 and the remaining 90 % payment must be paid 60 days before Explore Nepal 2025 starts. You will receive an email receipt confirming both payments once both have been transferred.
- For group bookings, each individual must pay their own deposit to confirm their attendance and their agreement and acceptance of these terms and conditions. A group leader may coordinate the remaining Explore Nepal 2025 payments.
- Explore Nepal 2025 price must be paid in full, regardless of any third party charges or exchange rates of currency. Any potential banking transfer fees must be paid by you.
Booking and Cancellation policy

- For cancellations > 60 days prior to the trip, a full refund of the fees applies (excl. deposit).
- For cancellations made within 59-30 days before the trip commencement date, we reserve the right to retain 50% of the full fee (plus deposit).
- For cancellations < 30 days of the commencement date, a cancellation fee of 100% of the full fee applies.
Travel

- Group harmony: Respect the privacy and quiet time of your fellow travelers. Avoid disruptive behavior that may negatively impact the group dynamic. Maintain a positive and respectful atmosphere throughout the retreat. The organizer reserves the right to ask participants to leave the group if their behavior is deemed detrimental to the group's well-being, disrespectful to others, or poses a safety risk to themselves or others. Any costs associated with adjusting the itinerary or returning to the city/town due to disruptive behaviour will be borne by the participant.
- Substance Use: The use of drugs, alcohol, and other substances during Explore Nepal 2025 is not recommended. Participants are solely responsible for the consequences of their own substance use and any impact it may have on their safety, well-being, and the group dynamic. The organizer reserves the right to ask participants to leave the group if they use substances and their behavior is deemed detrimental to their own or group's well-being, disrespectful to others, or poses a safety risk to themselves or others. Any costs associated with adjusting the itinerary or returning to the city/town due to usage of substance will be borne by the participant.
- Itinerary Changes: This is a group retreat, and the itinerary is carefully planned. Any requests for itinerary or accommodation changes must be discussed with the guide/teacher in advance. The guide/teacher will make the final decision on whether itinerary changes are feasible and appropriate.
- Independent Travel: If a participant chooses to deviate from the group itinerary without prior consultation and approval, they are solely responsible for their own arrangements and any associated costs. No refunds will be provided for independent travel not approved by the guide/teacher.
- Trekking Equipment: Each participant is responsible for ensuring they have the appropriate trekking equipment. A detailed customized for Explore Nepal 2025 packing list will be provided by the organizer. The organizer reserves the right to ask participants to leave the group if their equipment is deemed inadequate for the trek or poses a safety risk. Any costs associated with adjusting the itinerary or returning to the city/town due to inadequate equipment will be borne by the participant.
- Personal expenses: Each participant is responsible for ensuring they have sufficient funds for personal expenses during the trek. These may include extra meals, snacks, bottled water, showers, Wi-Fi access (if available), entrance fees to cultural sites, and other personal items. You can find more information about the costs in FAQ .
Yoga
